VMware acquired the rights for the Zimbra platform in 2010, and have recently released the new version 7 platform.   We've tried to outline some of the benefits for Zimbra users below over using a non-collaborative mail system, but as Zimbra competes primarily against Microsoft exchange server, it makes a like for like price comparison with most of our users current mail systems a little tricky. You'll see that the long term benefits primarily come about because of a reduced ongoing cost of ownership, as you pay for a hosted service and license the software as part of the hosting fee. The service is hosted on a number of secure storage networks around Europe, it is backed up daily and snapshot backups are kept for 30 days. The service offers most of the same equivalent functionality of a Microsoft Exchange Server, which can be costly to deploy and maintain in-house for a small business and requires a fairly high degree of technical knowledge, and additional resources for backup.  The Zimbra administration panel, accessible to you, is a breeze to use by comparison. The service can be used on multiple machines/devices in many different ways, making it very flexible for business users.  For most business users who use Microsoft Outlook, by using the Zimbra Outlook Connector plug-in, your mailbox and contacts, are always in synch between machines.  Appointment calendars and diaries etc. can also be treated the same way, plus users within a domain can configure shared appointment diaries, contact lists and calendars ‘on-the-fly’ inviting other users to collaborate. All users can access mail via an easy to use, feature rich, browser based interface if they wish.  Meaning that your staff can check their own e-mail, or change appointments, tasks etc. from home, or anywhere in the world in fact, as long as they have some means of accessing the web. You can also download an off-line program developed specifically for Zimbra that makes quite a good alternative to using Microsoft Outlook Express, or Windows Live Mail, for users that do not have or wish to use Microsoft Outlook; the Zimbra desktop software uses an almost identical interface to the web based version.  The web based version also has a 'Briefcase' that can be used to store other files, so rather than e-mailing a file between home and office, you can copy the file to the briefcase via the web, then work on it at home and save to same place and retrieve again from work. Migrating all of a company's data to the server, and setting everything up can be a largish job.  However once it's been done, it makes life in the future a whole lot easier.  If you replace a PC in the future, rather than copying all your data from the old PC to the new, you just connect it to the service and the mail is synchronised but the information is stored locally, making it quicker to access and content available off-line. You only pay for what you use: As you are paying for a licensed service, you pay a known fixed fee for the service, you don't need to roll-out new hardware or software, or (as with some mail servers) pay for a 25 user license for 13 users, where the vendor offers incremental licensing as 12, 25, 50, or 100 (or similar) users.  Also because the service is hosted, any server updates, security processes, or new features are deployed by the service provider, making life easier for you and your business. The standard business option is ideal for users who don't have MS Outlook, as you can connect using IMAP from Outlook Express, Windows Live Mail (or similar products), or you may prefer to use either the web based, or off- line Zimbra Desktop. Most of our business clients, once they have had a more detailed demonstration or explanation of the benefits opt to use the 'Pro' edition, as this integrates brilliantly with MS Outlook 2007-2010, as used by many businesses already, and with the mobile option can also sync' virtually seamlessly with the Apple iPhone, and other smart ‘phones that offer 'Exchange' integrated services, whilst still offering additional access via the web or other IMAP or POP only devices.
